Privacy Policy
This policy explains what personal information we collect, why we collect it, who we share it with, and the choices you have. We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
Who is responsible for your information
Knightsmen Inc., carrying on business as Top Drive Detailing ("Top Drive Detailing", "we", "us" or "our") is responsible for the personal information under our control.
Questions, access requests and complaints can be sent to our privacy contact at info@topdrivedetailing.com, or by telephone on 647-453-1299. We are a mobile business with no public premises and do not publish a postal address; email reaches us fastest and is the route we answer from.
What we collect
- Contact and booking details: your name, phone number, email address, service address, parking and access notes, and the date and time of your appointment.
- Vehicle information: make, model, type, size, condition notes, and the pre-service condition record and its diagram markings.
- Photographs and video of your vehicle taken before, during and after the work.
- Transaction information: services purchased, prices, deposits, balances, and payment status. Card payments are processed by Stripe — we do not receive or store your full card number.
- Your signature on the pre-service authorization form, with the date, the version of the wording you signed, and a content hash of that wording.
- Communications: messages you send us by email, text, our contact form, or through listing platforms.
- Website usage data: pages viewed, approximate location, device and browser type, and referral source, collected through analytics and advertising tools.
Why we collect it, and our legal basis
We collect and use personal information for the following purposes, and we obtain your consent by your act of booking, signing the on-site form, or continuing to use our website:
- To quote, schedule, perform and invoice the services you request.
- To reach you about your appointment, arrival window, and follow-up.
- To keep an accurate record of your vehicle's condition before work began, which protects both of us if a dispute arises.
- To process payments, issue receipts, and collect amounts owing.
- To train our technicians and improve our service quality.
- To market our services, using job photographs and video as described below.
- To understand how our website performs and to measure our advertising.
- To meet tax, accounting and other legal obligations.
Photographs and video of your vehicle
We photograph and film every job. This is both our record of the work and the material we use for marketing and technician training. Agreeing to our on-site authorization form includes agreeing to this use.
The commitments we make in return are firm:
- We never publish your name.
- We never publish the address where we worked.
- Licence plates and other identifying details are obscured or cropped before anything is published.
- We never sell your personal information or your vehicle information.
- What we show is the work, not the person and not the place.
If you would prefer that images of your vehicle are not used in marketing, tell the technician on site or email us, and we will honour that for your job.
Who we share it with
We do not sell personal information, and we do not share it for anyone else's independent marketing. We share only what is necessary, with service providers who process information on our behalf:
- Stripe — payment processing.
- Netlify — website hosting and secure storage of booking and job records.
- Google — business email, file storage for job media and documents, and website analytics (Google Analytics 4).
- Meta — advertising measurement, where our advertising pixel is active on the website.
- Listing platforms such as Yelp, Google Business Profile and Nextdoor, where you contact us through them, in which case their own privacy policies also apply to that conversation.
Some of these providers store or process information outside Canada, including in the United States, where it may be accessible to courts and law enforcement in that jurisdiction.
We may also disclose information where required by law, to protect our rights, or in connection with a sale or reorganisation of the business.
Cookies, analytics and advertising
Our website uses cookies and similar technologies for basic functionality, to remember your booking progress, and for analytics and advertising measurement.
You can block or delete cookies in your browser settings. Doing so may affect how parts of the booking flow work.
You can opt out of Google Analytics using Google's browser add-on, and adjust advertising preferences in your Google and Meta account settings.
How we protect and store your information
Access to customer records is restricted to the owner and the technicians who need it to do their job, through password-protected accounts.
Our website is served over HTTPS, and payment card data is handled entirely by Stripe under its own security standards.
No system is perfectly secure. If a breach occurs that creates a real risk of significant harm, we will notify affected individuals and the Privacy Commissioner of Canada as the law requires.
How long we keep it
We keep booking, service and financial records for as long as needed for the purpose collected, and then for the period required by Canadian tax and limitation legislation — generally seven years.
Signed condition records and their photographs are kept for the same period, because they are the evidence of what a vehicle looked like before we touched it.
Marketing images that have been published may remain in circulation on social platforms after that period, in de-identified form.
Your rights
You may ask us to:
- confirm what personal information we hold about you, and give you access to it;
- correct information that is inaccurate or incomplete;
- stop using your job images for marketing;
- stop sending you marketing messages, at any time;
- delete information we no longer need to keep for legal or record-keeping reasons.
Email info@topdrivedetailing.com and we will respond within 30 days. We may need to verify your identity first. In limited cases the law allows us to refuse access, and if we do we will tell you why.
Complaints
If you are not satisfied with how we have handled your information, contact us first at info@topdrivedetailing.com so we can try to resolve it.
You also have the right to complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca, or 1-800-282-1376.
Changes to this policy
We may update this policy. The current version and its effective date are always shown at the top of this page. Material changes will be reflected here before they take effect.
